Addendum and Corrections to the August 29 Report (September 30, 2025)
Regarding the report on August 29, looking into the cause of the problem and reviewing the operation system brought to light the following facts. Accordingly, we would like to provide the following additional information.
[Confirmed event]
Thorough examination of the period during which the rooms were deleted has revealed that the period from July 16 to August 16 was affected. It is possible that rooms that had been inactive for less than 31 days and were originally not targeted for deletion were also erroneously deleted during this period.
[Cause]
As a cause, in the previous report we stated that the process to delete rooms that have been inactive for 31 or more days from this time was stopped, however the date and time processing of room deletion was being run as a separate process. As a result, the following situation occurred:
・Rooms that had been inactive for less than 31 days between July 16 and August 16 may have also been deleted.
・After August 17, the function to delete rooms that were inactive for 31 or more days was working as we originally assumed.
In our August 29 report, we stated that the room deletion process was at that time stopped. However, this was not the case.
We have checked the status of the function to delete rooms that have been inactive for 31 or more days, and it is currently operational.
Once again, we would like to offer our sincere apologies for the inconvenience this issue has caused our customers.
We will continue to review our system so that we can continue to operate in an appropriate manner in the future.
We look forward to your continued custom on SYNCROOM.
2025/7/16 Report on an error in which rooms not targeted for deletion were erroneously deleted (August 29, 2025)
[Issue occurring]
In SYNCROOM V2.0, the specifications for initial release were that rooms that had not been used for more than one month were to be deleted.
Based on these specifications, on July 16, 2025 deletion processing was carried out on rooms that had not been used for more than one month.
However, as a result, rooms that should not have been targeted for deletion were erroneously deleted.
[Cause]
From SYNCROOM V2.0 onwards, we had assumed (below, "Assumption 1") that the time the room last went offline (the time the last user left the room) would be recorded in the server database.
In this process, the system was configured to delete rooms for which 31 or more days had passed from this time.
However, in reality there was a problem with the processing in Assumption 1, and the time the room went offline was not recorded correctly (in reality the time the room was created, or information updated was recorded). As a result, rooms that were inactive for less than 31 days were also deleted.
Additionally, testing environments used testing room information that differed from the actual database. Since testing was conducted based on the assumption that the time the room went offline was correctly recorded, we were unable to detect this problem in advance.
[Response]
We have corrected the issue with Assumption 1, and the time that a room goes offline is now recorded correctly.
Room deletion processing is currently stopped. Once we have fixed the problem, we plan to check to ensure that at least one month passes before restarting sequentially.
[Measures to prevent recurrence]
Going forward, we will implement the following measures and move to revise our operational systems.
For processing that affects the database, we will conduct rehearsal and verification in the production environment as well as in a testing environment.
We will strengthen reviews and checking systems for content that is changed on the server.
Once again, we would like to offer our sincere apologies for the inconvenience this issue has caused our customers.
We look forward to your continued custom on SYNCROOM.
